Your responsibilities in a nutshell
The administrative and financial management assistant works within the administrative team (7 people) and reports to the Secretary General.
He/she provides administrative and logistical support to the fifteen or so scientific staff of LATTS hosted by the UGE. He/she carries out administrative and financial management tasks in accordance with the techniques, rules, and procedures applicable to the functional areas of the institution. He/she is based at the laboratory's two sites.
Main tasks:
• Examine files to verify their legal, administrative, and financial compliance
• Carry out commitment, settlement, and payment operations
• Collect and check the supporting documents required for management operations
• File and archive documents and supporting documents for financial and accounting operations

• Update dashboards (budget management, contract monitoring, etc.)
• Prepare invoicing requests
• Manage and inventory IT equipment
• Process files and submit recruitment requests (fixed-term contracts, interns)
• Manage the material and logistical organization of events (conferences, meetings, seminars, symposiums, etc.)
• Provide logistical support (premises, equipment, supplies, etc.) for the student union
• Welcoming internal and external contacts
• Select and disseminate information internally and externally
• Respond to internal and external requests for information
